ITGlue Document Import

Part 1 – Exporting Data Out of IT Glue

You must first export your data out of your IT Glue instance before you can import it into         CrushBank. While this process will export all data (there is no option to export only documents), the import process will only import the documents and will link them to the Organizations that have already been imported into CrushBank via the API.

  1. Click on the Account menu option in the top menu of your IT Glue website.

  2. From the menu on the left, select Export Data (about half-way down)

  3. When you click Export, you will be brought to the Export Data screen. You can simply click the green Start Export button to export everything, or you can choose to export an organization at a time. To do that, type the Organization name in the Export data for an Organization box and click the green Start Export button below that box. You should generally export all data, but if for some reason you only want a subset of your IT Glue data in CrushBank, you can export one Organization at a time.
  4. The full account export will take some time to prepare. You will get an email from ITGlue when it’s done, and the Export Data page on the website will update with a link to download the file.

  5. Click the Download button and save the .zip file locally if your zip file is under 1GB. If your zip file is over 2GB you will need to upload the file via a remote URL. You can save the file to an internal Dropbox, SharePoint or another internal site. Details on uploading into CrushBank are below.

Part2–  Importing Documents into CrushBank

Once you have all the content exported out of your ITGlue instance, you will need to import it into CrushBank. There are currently 2 ways you can import your ITGlue export into CrushBank

Uploading it directly from your Computer

  1. Hover over the menu icon (3 horizontal lines) in the upper right corner of the CrushBank interface, to reveal the menu. Click on the Admin link.

  2. From the menu on the left-hand side of the admin screen, click Data Import

  3. The Data Import window will open
  4. From the Data Format drop-down menu, select ITGlue. Once you do this, the IT Glue Integration box will appear. Select your ITGlue integration
  5. Click Choose File in the Zip File box and select the .zip file you downloaded in Part 1.

  6. Click the orange Import button. The system will prompt you to confirm all settings. Please make sure everything is right, imports cannot be undone.

  7. In the lower part of the Date Import screen, you will see a new import queued for ingestion. It will have the current date and your name. Within a few minutes the Status will change to In Progress (if you don't see it update within 30 mins please reach out to help@crushbank.com)

  8. Depending on the size of your export, the documents could take a while to import (up to a couple of hours). When the process is complete, you will see the status on the Data Import screen change to Completed

Your data has now been ingested into CrushBank. You can redo this import as often as you like. New documents will be added to the system, and changes will be updated. No existing documents will be replicated.

Uploading via Remote URL

  1. Hover over the menu icon (3 horizontal lines) in the upper right corner of the CrushBank interface, to reveal the menu. Click on the Admin link.

  2. From the menu on the left-hand side of the admin screen, click Data Import

  3. The Data Import window will open
  4. From the Data Format drop-down menu, select ITGlue. Once you do this, the IT Glue Integration box will appear. Select your ITGlue integration.
  5. Select Remote URL and copy and paste your URL into the box. To ensure the file downloads automatically you will need to make a small change to the URL. (If you use Dropbox update the end of your link from =0 to =1. When using OneDrive delete everything after the ? and replace it with download=1). If you are using a different URL please reach out to make the correct updates for it to upload.

  6. Click the orange Import button. The system will prompt you to confirm all settings. Please make sure everything is correct as imports cannot be undone.
